Registration Terms and Conditions

1. Definitions

“Academic Excellence,” “we,” “us,” and “our” mean Academic Excellence and its staff, instructors, and authorized representatives.

“You” means the parent or legal guardian completing registration or enrollment.

“Student” means the child you enroll in a course or program.

“Course” means any class, program, bundle, or related offering listed by Academic Excellence, including online or in-person sessions.

2. Registration and Parent Authority

By enrolling a Student, you represent and warrant that:

• You are the parent or legal guardian authorized to enroll the Student and to accept these Terms on the Student’s behalf.
• All information you provide (including contact, emergency, and Student details) is accurate and complete, and you will keep it current.
• You and the Student will comply with these Terms and with Academic Excellence policies communicated to you.

3. Program Changes

We may modify course schedules, class dates, instructors, classrooms, curriculum, activities, or locations when required by enrollment levels, staffing, facilities, weather, or other operational needs.

We may reschedule individual sessions or extend a course for instructor illness, facility conflicts, weather, public emergencies, or other unforeseen events. We will notify the email on your account of material changes as soon as practicable.

We may combine classes, adjust class sizes, or cancel a Course for insufficient enrollment or unforeseen circumstances.

Such changes are not grounds for a refund if the Course’s instructional hours and overall educational objectives are substantially maintained.

4. Attendance and Absences

For safety, you must notify Academic Excellence site staff and the Student’s instructor if the Student will be absent, whether the absence is planned or unplanned.

Tuition is not reduced, refunded, credited, or prorated for:

• Student absences
• Illness
• Family vacations
• Scheduling conflicts
• Weather-related closures
• Facility closures
• Public emergencies
• Other circumstances beyond our reasonable control

The Student must attend sessions that we reschedule under these Terms.

5. Make-up Sessions

Upon request, we may offer a make-up session for a missed class. Make-ups are not guaranteed and depend on instructor availability, capacity, and scheduling.

A make-up is available only if:

• You notify Academic Excellence of the absence.
• We approve the make-up in advance.
• The make-up is completed within three (3) weeks of the original class date.

Make-ups are subject to available space and may use a different instructor, location, or time than the original class.

Missed make-up sessions are not eligible for refunds, credits, or additional make-ups.

6. Cancellation and Refunds

Within two (2) weeks of the Course start date, or after the Course has started: cancellations are non-refundable.

Payment processing and transaction fees charged by Stripe or other processors are non-refundable.

Requests outside these rules are decided case by case at our sole discretion.

7. Payments

Tuition and fees are due as shown at online checkout or as confirmed for offline methods (for example, check, cash, Venmo, or Zelle).

If you select an installment plan when offered, you agree to pay the full installment plan total on the schedule presented at enrollment. Failed or missed installment payments may result in suspension of participation until the account is current, subject to our policies.

Seats requested with offline payment remain pending until we confirm payment according to our processes.

8. Student Health and Illness

The Student must stay home if they:

• Have a fever of 100.4°F (38°C) or higher.
• Have vomited or had diarrhea within the previous 24 hours.
• Have a contagious illness.
• Cannot comfortably participate in course activities.

If the Student becomes ill during a Course, we will contact you or your designated emergency contact. You must arrange prompt pick-up.

9. Drop-Off and Pick-Up

You are responsible for on-time drop-off and pick-up.

We release the Student only to:

• A parent or legal guardian; or
• A person you have authorized.

We may require photo identification before release.

You must notify us in advance if someone other than an authorized person will pick up the Student.

10. Student Conduct

Students must:

• Treat students, instructors, staff, volunteers, and visitors with courtesy and respect.
• Follow classroom rules and safety instructions.
• Use facilities, equipment, and materials responsibly.
• Not engage in disruptive, unsafe, bullying, harassing, discriminatory, or otherwise inappropriate behavior.

We may dismiss a Student whose conduct significantly disrupts learning or poses a safety risk. Dismissal for misconduct is not eligible for a refund.

11. Our Equipment and Materials

Students must use Academic Excellence computers, robotics equipment, tablets, calculators, and other materials with reasonable care.

You may be responsible for repair or replacement costs for intentional or reckless damage beyond normal wear and tear.

We may prohibit personal devices that disrupt instruction, pose a security concern, or are used for non-educational purposes during class.

12. Technology Requirements

Personal devices (such as a laptop, Chromebook, tablet, or iPad) may be needed for assessments, quizzes, tests, homework, and related online activities. Students may be required to have access to a device during class and/or offline at home to complete this work.

You acknowledge that:

• Some Courses or assessments may require an approved personal device in class.
• Some coursework, practice assignments, quizzes, tests, or online assessments may need to be completed outside class with a personal device and internet access.
• We will notify you when a personal device is required for a Course or activity when practicable.
• The Student must bring a fully charged device and required accessories unless we instruct otherwise.
• We are not responsible for loss, theft, damage, maintenance, compatibility, or technical support of personal devices.
• Personal devices may be used only for instructional purposes and as directed by the instructor.
• Failure to bring a required device or complete required online work may limit participation in some activities or assessments.
• We may update technology requirements as instructional needs change.

13. Personal Property

Students should bring only items needed for the Course, including required personal devices when applicable.

Students are responsible for their personal belongings at all times.

We are not responsible for loss, theft, damage, or unauthorized use of personal property (including laptops, tablets, phones, backpacks, clothing, jewelry, books, and similar items).

Label belongings with the Student’s name when practical.

14. Emergencies

In severe weather, facility emergencies, or other unforeseen events, staff will follow established emergency procedures.

We will notify you as soon as practicable of any significant emergency that affects course operations.

15. Assumption of Risk and Release

Participation involves ordinary risks associated with educational and enrichment activities.

To the maximum extent permitted by applicable law, you release and hold harmless Academic Excellence and its directors, officers, employees, instructors, volunteers, agents, and representatives from claims for injury, illness, loss, or damage arising from the Student’s participation, except to the extent caused by our gross negligence or willful misconduct.

16. Medical Authorization

In case of illness, injury, or medical emergency, you authorize Academic Excellence staff to obtain appropriate emergency medical treatment for the Student if you or your designated emergency contact cannot be reached promptly.

We will attempt to contact you before treatment when circumstances permit.

You are responsible for all medical expenses incurred on the Student’s behalf.

17. Photo and Media

You authorize Academic Excellence to photograph or video the Student during course activities for educational, informational, and promotional uses, including:

• Parent newsletters
• Printed publications
• The Academic Excellence website
• Official Academic Excellence social media
• Marketing and promotional materials

We will not publish the Student’s full name together with photographs or videos without additional parental consent.

To request limited use of images for promotional purposes, contact us in writing at the email listed on our Contact page.

18. Notices and Account Information

We may send official notices to the email address and phone numbers on your account. You are responsible for monitoring those channels and for keeping your contact information current.

19. Governing Law

These Terms are governed by the laws of the State of Minnesota, without regard to conflict-of-law rules.

20. Acceptance

By checking the agreement box and submitting enrollment (including Enroll, Pay, Register, or an equivalent action), or by accepting these Terms when creating or completing a parent profile, you confirm that you have read and agree to these Terms and that you are authorized to enroll the Student.
